Our Policies
At The Inn at Gristmill Square, we aim to provide our guests with a comfortable and memorable stay. To ensure a pleasant experience, please take a moment to review our policies and guidelines.
Reservations/Payments
Room Rates
Reservations may be made online, via email, or by calling the Inn. At the time of reservation, a deposit of one night’s stay plus applicable taxes (5.3% local and 4% occupancy) will be charged to your card. The remaining room balance is due at check-in. Incidentals are payable at checkout. If you wish to change the original form of payment please notify us at check-in. *Visa, MasterCard, Discover, American Express accepted. Refunds of the original form of payment will be less a 5% credit card processing fee.
Rates can fluctuate based on occupancy and availability. Mid-week rates can differ from weekend rates.
Check-In / Check-Out
Guests may check-in any time after 3:00pm. Please contact us regarding early check-in. Check-ins after 5:00pm are asked to do so at the Waterwheel Restaurant. Checkout is by 11:00am. Please contact the front desk regarding a request for late checkout.
Group Room Block Reservations
A minimum for 4 rooms is required for a group room block. We will release any rooms not picked up by your guests one month prior to the check-in date. For group room blocks (4 rooms or more) there is a 14-day cancellation policy (which is applicable to each room, not just the entire block). We require a deposit of one night’s stay plus tax for all rooms in your block. As your guests’ book rooms in your block we will collect deposits from them. Your initial deposit(s) will be refunded to you when your block is complete, or a month prior to the check-in date, whichever comes first. Your guests are required to call in to make their reservations (or online with a personalized booking code) to ensure they are placed in your block. Weekend wedding room blocks require a two-night minimum (Friday and Saturday nights). To complete a room block please call in and speak with one of our reservation specialists. Please call between 8am-5pm, any day of the week.
Cancellations
Because of our size, cancellations affect us significantly. Changes or cancellations may be made to your reservation until 3 days prior to your arrival.* Changes or cancellations within 3 days of arrival will result in forfeiture of the deposit, NO EXCEPTIONS*. Refunded deposits will be less a 10% cancellation fee of the deposit collected. This applies to all room/s you have on hold with your credit card unless we can re-book your room. If that is the case you will get a full refund, less the cancellation fee. In the case that you no show for your reservation the deposit is forfeited, and the entire stay will be charged. We do not refund for cancellations due to weather. You are of course welcome to transfer your reservation to a friend or family member.
*CANCELLATION WAIVER: For a non-refundable $45 fee (per room), paid AT THE TIME OF BOOKING, you may cancel up until 9:00am on the day of arrival and receive a refund of the deposit paid. This cancellation waiver fee is not refunded in the chance we are able to re-book your room. Waiver not available for purchase over/around holidays and select event dates, for non-refundable rates, or on group room blocks which require a 14 day cancellation. You may be interested in purchasing this waiver if you have young children, elderly parents, contract COVID, or if you are concerned with weather conditions.
Non-refundable Rates
We have discounted mid-week rates that are non-refundable. These rates are only available for booking 3 months in advance of arrival. These rates are not eligible for the cancellation waiver. There is no exception to these rates. Meaning, if you can’t make it, you lose your deposit, even if we can re-book the room. You are welcome to transfer the reservation to someone else in the case that you can’t make the reservation.
Early Departure
We realize that plans change, and you may have to shorten your visit. Rooms vacated before the checkout date are still responsible for the entire charge of the original reservation unless we can re-book the room. To avoid paying for your entire stay we require 48 hours’ notice of your revised departure day.
Travel Insurance
We realize that cancellations are sometimes beyond your control. For this reason, we recommend purchasing travel insurance for peace of mind. The Inn at Gristmill Square will be happy to supply your travel insurance company with information regarding our policy and your reservation. Smoking Policy
There is absolutely no smoking in any guest room. Smoking is permitted outside and away from your guest room. Please ask the staff for an ashtray. Evidence of smoking in or near a guest room will result in a $250 charge to the credit card on file for the room in question.
Pets
We love fur babies and have 8 dog-friendly rooms to accommodate a maximum of one (no exceptions) canine travel companion. A non-refundable pet fee of $50 is required when bringing a pet. If one of our dog-friendly rooms isn’t available (or you want to bring your cat, hamster, parakeet, etc.) there is a wonderful veterinarian for boarding just one mile from the inn. For pet boarding and information: 540-839-2642. To reiterate, we do not allow cats, rabbits, hamsters, birds, etc! You must note on your reservation if you are bringing a dog and must book a dog-friendly room. Please ask us if you are unsure if a room allows for a dog.
Lost and Found
We are happy to package and send articles left behind after checking out. All costs associated with the shipment of the items are the responsibility of guest. We keep lost and found items for a maximum of 30 days from being found.
Privacy Policy
We respect and are committed to protecting your privacy. We may collect personally identifiable information when you visit our site. We will not sell your personally identifiable information to anyone.
Security Policy
Your payment and personal information are always safe. Our Secure Sockets Layer (SSL) software is the industry standard and among the best software available today for secure commerce transaction. It encrypts all your personal information, including credit card number, name and address, so that it cannot be read over the internet.
For additional security on the property, we utilize security cameras in public areas and the restaurant.
